Every retailer and CPG company has an order to cash process that looks good on a flowchart but becomes a daily fight in practice. Orders arrive from dozens of channels. They sit in email, chats, portals, or EDI files. Someone has to extract the data, validate it, create the invoice or credit memo, reconcile payments, and chase exceptions. Those exceptions are the real work: mismatched addresses, missing order numbers, rejected payments, or retailer deductions. Traditional RPA automates the predictable parts. It breaks on the exceptions, and it breaks whenever the UI changes. The result is a growing maintenance backlog and a process that still relies on humans to handle the messy edge cases.

Why RPA breaks here

Most order to cash bots are built on selectors, xpaths, and object IDs. They click on a specific button with a known ID, type into an input field with a known class name, and wait for a specific text to appear. In a controlled, static environment this works. In retail and CPG it rarely does. New storefronts launch each quarter. ERP modules get updated. Stores switch POS systems. Retailers roll out new portals for deductions or chargebacks. Each UI change forces a developer to rebuild the bot. Industry estimates suggest enterprises spend as much as 70 percent of their RPA total cost of ownership on maintenance. In order to cash specifically, where new retailers, promotions, and channels appear constantly, that spend looks more like 80 percent. Bots that once ran reliably start failing weeks after release. Teams have to triage alerts, find the new selectors, rewrite the workflow, test it, deploy it, and monitor it again. The process becomes a treadmill: build, break, fix, repeat.

What changes with computer use agents

  • Survives UI changes: agents see the screen and adapt to where elements now appear instead of waiting for brittle selectors.
  • No brittle selectors: once a computer use agent understands the process, it works across new apps, portals, and releases.
  • Recovers from exceptions: when a payment is rejected or an address is invalid, an agent can read the error message, decide the next step, and act, rather than halting.
  • Follows the SOP as written: a standard operating procedure in plain English is already almost a prompt. An agent can follow it directly without building a flowchart bot.
  • Works on legacy and Citrix: agents can interact with desktop applications, virtualized environments, and Citrix where traditional RPA struggles.

Traditional RPA is brittle and expensive to maintain. Computer use agents are durable and can follow the SOPs you already have.

How to move without the risk

You do not have to rip out all of your existing RPA in one go. The most pragmatic path is to pick one high‑pain order to cash process and pilot a computer use agent there. Look for a process that is SOP‑driven, has frequent UI changes, and generates lots of exceptions. Examples include: invoicing for a set of key retail partners, handling deduction evidence, or reconciling payments for a fast‑growing channel. Start with a clear scope. Define the steps in a written SOP, including how to handle common exceptions. Run the agent on live or near‑live data in a controlled environment. Measure how often the agent succeeds without human intervention, how many hours are saved, and how much maintenance effort is eliminated compared with the existing RPA. Once you see a durable improvement, expand the agent to related processes. You can still keep your high‑volume, stable RPA workflows for backend data entry, invoice generation, or bulk reconciliation. The goal is to build a hybrid estate where computer use agents handle the long tail, changing UIs, and exception‑heavy tasks, while RPA continues to own the predictable, high‑volume work.
